1. Agreement to Terms
By accessing or using Confera ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you disagree with any part of these terms, then you may not access the Service.
Confera provides AI agents that automatically join your Microsoft Teams, Zoom, and Google Meet meetings, answer questions in real-time during meetings, and save complete transcripts for later review.
Important: These terms constitute a legally binding agreement between you and Confera. Please read them carefully.
2. Description of Service
2.1 Core Features
Confera provides the following services:
- AI agents that automatically join your Microsoft Teams, Zoom, and Google Meet meetings
- Real-time question answering during meetings based on conversation context
- Complete meeting transcript generation and storage
- Customizable AI provider integration using your own API keys (Speech-to-Text, Large Language Models, Text-to-Speech)
- Secure access controls including email whitelisting and meeting confirmation
2.2 Service Availability
We strive to maintain high service availability but do not guarantee uninterrupted access. The Service may be temporarily unavailable due to maintenance, updates, or technical issues.
3. User Accounts and Registration
3.1 Account Creation
To use our Service, you must:
- Be at least 18 years old
- Provide accurate and complete registration information
- Maintain the security of your account credentials
- Accept responsibility for all activities under your account
3.2 Account Security
You are responsible for:
- Keeping your login credentials confidential
- Notifying us immediately of any unauthorized account use
- Ensuring your account information remains current and accurate
4. Acceptable Use Policy
4.1 Permitted Use
You may use our Service for legitimate business and personal meeting assistance purposes in compliance with all applicable laws.
4.2 Prohibited Activities
You agree not to:
- Use the Service for any illegal or unauthorized purpose
- Record meetings without proper consent from all participants
- Attempt to reverse engineer or compromise the Service
- Use the Service to transmit malicious code or spam
- Violate any third-party rights, including intellectual property rights
- Use the Service to collect personal information without consent
- Invite AI agents to meetings without proper participant notification
- Share, sell, or misuse API keys for third-party AI services
- Use invalid or unauthorized API keys
- Impersonate others or provide false information
- Interfere with the Service's operation or security
4.3 API Key Responsibilities
When using your own API keys with third-party AI providers:
- You are responsible for obtaining and providing valid API keys
- We securely store and manage your API keys within our platform
- You must comply with each AI provider's terms of service and usage policies
- You are responsible for any costs incurred with AI providers
- You must ensure your API keys have appropriate permissions and rate limits
- You should monitor your API usage and costs with third-party providers
- You can delete or update your API keys through our service at any time
Meeting Consent: You are responsible for ensuring you have proper consent to record or transcribe meetings. Some jurisdictions require all-party consent.
5. Meeting Data and Privacy
5.1 Data Processing
When using our Service:
- We process meeting audio in real-time to generate transcripts and answer questions
- We do not store audio or video recordings
- Text transcripts and AI responses are stored until you delete them
- You maintain ownership of your meeting content and transcripts
5.2 Access Controls
You can control your AI agent's access through:
- Email whitelisting - restrict who can invite your agent to meetings
- Meeting confirmation - receive emails to approve or deny meeting participation
- Manual control over agent activation during meetings
5.3 Consent and Compliance
You warrant that:
- You have authority to invite our AI agents to meetings
- You comply with all applicable privacy and recording laws
- You obtain necessary consents from meeting participants
- You inform participants about AI agent participation and transcription
6. Billing and Payments
6.1 Pricing
Our Service operates on a credit-based system with usage-based billing:
- Credits are consumed based on feature usage and duration
- Current pricing is available on our pricing page
- Prices may change with 10 days' notice
6.2 Payment Terms
- Payments are processed through DodoPayments (Merchant of Record)
- All fees are generally non-refundable (see Section 7 for refund policy)
- You're responsible for all applicable taxes
6.3 Account Suspension
We may suspend or terminate accounts for:
- Non-payment of fees
- Violation of these Terms
- Fraudulent or suspicious activity
7. Refund Policy
7.1 Credit Refunds
We offer refunds within 14 days of purchase if credits have not been used. Once credits are partially or fully used, they are non-refundable.
7.2 Subscription Cancellation
For subscription plans, you may cancel anytime:
- Future billing will stop immediately upon cancellation
- Unused credits will remain available
- No refunds will be provided for the current billing period
7.3 Technical Issues and Billing Errors
If you believe you were charged in error or experienced a technical issue that prevented use of the service, please contact us at contact@confera.me within 7 days, and we'll review your request.
7.4 Refund Process
To request a refund for unused credits:
- Contact us at contact@confera.me within 14 days of purchase
- Ensure no credits have been used from your purchase
- Provide your account information and transaction details
- We will process eligible refunds within 5-10 business days to your original payment method
7.5 Non-Refundable Scenarios
Refunds are not available for:
- Used credits (partial or full usage)
- Requests made after 14 days from purchase
- Subscription cancellations after the billing period has started
- Account violations resulting in suspension
8. Third-Party Services
8.1 AI Providers
Our Service integrates with various AI providers that you can configure using your own API keys:
- Speech-to-Text Services: OpenAI Whisper, Deepgram, and other transcription providers
- Large Language Models: OpenAI GPT, Anthropic Claude, Google Gemini, Ollama, and other LLM providers
- Text-to-Speech Services: OpenAI TTS, ElevenLabs, and other voice synthesis providers
- Custom and self-hosted AI services
8.2 Your API Keys
When you provide your own API keys for third-party AI services:
- You maintain direct control over which AI providers process your data
- Your API keys are securely encrypted and stored in our system
- You can update or remove API keys at any time
- You are responsible for compliance with each provider's terms of service
- Costs for AI provider usage are between you and the provider
8.3 Third-Party AI Terms
When using third-party AI services:
- You may be subject to additional terms and privacy policies from AI providers
- You're responsible for reviewing and complying with third-party AI provider terms
- We are not responsible for third-party AI service availability or performance
- AI provider outages or issues may affect our Service functionality
8.4 Meeting Platforms
Our AI agents connect to Microsoft Teams, Zoom, and Google Meet. We do not control these platforms and are not responsible for their availability or functionality.
8.5 Platform Integration Terms
When using meeting platforms, you may be subject to their additional terms and privacy policies. You're responsible for reviewing and complying with platform-specific terms.
9. Intellectual Property
8.1 Your Content
You retain ownership of your meeting transcripts, AI responses, and content. By using our Service, you grant us a limited license to process your content to provide the Service.
8.2 Our Property
The Service, including its software, technology, and design, is our property and protected by intellectual property laws.
8.3 AI-Generated Content
AI-generated responses and transcripts are provided as-is. You're responsible for reviewing and verifying their accuracy before use.
10. Disclaimers and Limitations
10.1 Service Disclaimers
Our Service is provided "as is" without warranties of any kind. We disclaim all warranties, express or implied, including:
- Accuracy of transcriptions or AI-generated content
- Uninterrupted or error-free operation
- Fitness for a particular purpose
- Non-infringement of third-party rights
10.2 AI Accuracy
Important: AI-generated content and transcripts may contain errors. Always review and verify AI output before making important decisions.
10.3 Limitation of Liability
To the maximum extent permitted by law, we shall not be liable for:
- Indirect, incidental, or consequential damages
- Loss of profits, data, or business opportunities
- Damages arising from third-party AI provider services or API outages
- Costs or issues related to your API key usage with third-party providers
- Damages arising from meeting platform outages or changes
- Total liability exceeding amounts paid in the last 12 months
11. Indemnification
You agree to indemnify and hold us harmless from claims arising from:
- Your use of the Service
- Violation of these Terms
- Violation of third-party rights
- Unlawful use of AI agents in meetings without consent
- Failure to obtain proper meeting participation consents
12. Termination
12.1 Termination by You
You may terminate your account at any time by contacting us. Upon termination:
- Your access to the Service will cease
- Your data will be deleted according to our Privacy Policy
- Refunds for unused credits follow our Refund Policy (Section 7)
12.2 Termination by Us
We may terminate or suspend your account immediately for:
- Violation of these Terms
- Non-payment of fees
- Illegal or harmful activity
- At our discretion with reasonable notice
13. Governing Law and Disputes
13.1 Governing Law
These Terms are governed by and construed in accordance with applicable laws, without regard to conflict of law principles.
13.2 Dispute Resolution
We encourage resolving disputes through direct communication. If formal resolution is needed, disputes shall be resolved through binding arbitration or in courts of competent jurisdiction.
14. Changes to Terms
We may modify these Terms at any time. Changes will be effective:
- Immediately upon posting for minor changes
- After 30 days' notice for material changes
- When you continue using the Service after changes
We'll notify you of significant changes via email or Service notifications.
15. General Provisions
15.1 Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Confera.
15.2 Severability
If any provision is found unenforceable, the remaining provisions will remain in full force and effect.
15.3 Assignment
You may not assign these Terms without our consent. We may assign our rights and obligations at any time.
15.4 Force Majeure
We're not liable for delays or failures due to circumstances beyond our reasonable control.
